Eligibility

Presenters for General Presentations (Oral/Poster) and the Awards for Academic Excellence Session must be individual or institutional members of the Japan Society for Medical Education. Individuals who are not institutional members and have not yet joined the Society must complete membership registration in advance. However, undergraduate students, clinical trainees, and foreign nationals residing overseas may apply even if they do not meet these conditions.

Regarding Disclosure of Conflicts of Interest

For general presentations (oral/poster) and the Awards for Academic Excellence Session, please disclose any conflicts of interest using the designated disclosure items and method.

Failure to disclose conflicts of interest, or intentional disclosure of false information, may result in the invalidation of acceptance, presentation, or awards. Information may be shared with the presenter's affiliated organization, related organizations, and relevant academic societies. Furthermore, we may conduct interviews with presenters and related parties, or request information from affiliated organizations, related bodies, and relevant academic societies. Registration of a presentation for this conference constitutes the presenter's agreement to these conflict of interest disclosure, response, and other related regulations.

Prohibition of Inappropriate Dual Publication and Research Misconduct such as Fabrication, Falsification, and Plagiarism

This academic conference does not permit inappropriate duplicate publication or research misconduct such as fabrication, falsification, or plagiarism.

Presentations falling under the following definitions and criteria may have their acceptance, presentation, or awards invalidated, and information may be shared with the presenter's affiliated organization, related organizations, and relevant academic societies. Furthermore, the organizers may conduct interviews with presenters and relevant parties or request information from the presenter's affiliated organization, related organizations, and relevant academic societies.

By registering a presentation for this conference, presenters are deemed to have agreed to these definitions, criteria, responses, and other relevant regulations.

【Definitions】

Duplicate publication refers to the act of presenting substantially identical content at this conference that has already been presented, or is scheduled for presentation, by the same research group or individual at another academic meeting (including regional conferences and study groups).

【Criteria】

The following types of presentations shall be deemed inappropriate duplicate presentations:

  • Reports of identical activities
  • Presentations involving only analytical modifications to previously published research
  • Presentations where, despite a change in perspective, the dataset is identical, and the results are substantially the same
  • Presentations where the dataset is identical, or where the research objective and outcome are substantially the same, only an increase in sample size
  • Any other presentations deemed inappropriate duplicate presentations by the Conference Chair and the Executive Committee

The following topics shall be regarded as research misconduct, such as fabrication, falsification, or plagiarism.

  • Items deemed ‘publication misconduct’ under the Medical Education Society Submission Regulations (effective 17 January 2025)
  • Other items deemed misconduct by the Conference Chair and the Executive Committee

【Exceptions】

The following cases do not constitute duplicate publication. However, this information must be disclosed to the audience during abstract registration and presentation. Where necessary, the Conference Chair and Executive Committee may request information regarding past presentations or papers, and presenters must comply. Failure to provide appropriate information may result in the presentation being deemed an inappropriate duplicate publication.

  • Research published as a thesis, academic paper, or preprint, but not previously presented at an academic conference. Provided that there are no restrictions on conference presentations imposed by the presenter's institution, publisher, or similar body.
  • Where substantial modifications or additions have been made to the research objectives, methodology, results, or discussion, even if the underlying data remains the same.
【Action】

Should inappropriate duplicate publication or research misconduct, such as fabrication, falsification, or plagiarism, along with related abstract submissions, be identified, the Conference Chair and Executive Committee shall revoke the acceptance of the abstract at their discretion.

For sessions featuring Awards for Academic Excellence, acceptance into the session and any awards will be revoked.

Where inappropriate duplicate publication or research misconduct, such as fabrication, falsification, or plagiarism, is suspected, information may be requested from the presenter, relevant parties, affiliated organizations, related bodies, and associated academic societies. Depending on the outcome, information may be shared.

The names of presenters, titles, and affiliated institutions associated with inappropriate duplicate publication or research misconduct, such as fabrication, falsification, or plagiarism, will be publicly disclosed via the conference website, abstract book, and other appropriate channels.

【Other Matters】

Any matters not covered above shall be governed by the Submission Guidelines of the Japan Society for Medical Education (effective 17 January 2025). Furthermore, information not covered in the Japan Society for Medical Education Submission Guidelines (effective 17 January 2025) shall follow the latest ICMJE recommendations.

Precautions

  • Please read the conditions carefully before submitting your presentation for the Best Presentation Award session.
  • Each person may submit up to two abstracts as the first speaker.
  • Due to the limited number of venues and the duration of the meeting, it may be difficult to adjust the presentation time. If you have already been accepted for a workshop or symposium, please take this into consideration when submitting your abstract.

Precautions

  • Presenters of accepted Open Call Symposia (including On-Demand Symposia) are required to submit their abstracts via the UMIN (University Hospital Medical Information Network) online abstract submission system, in the same manner as general abstract submissions.
  • The selection results have been sent to the program organizers. For details about acceptance, please contact your program organizer.

Abstract Title

  • The character limit is 50 double-byte characters (100 single-byte characters).

Abstract body

  • Abstract body must be less than 900 full-width characters (1,800 half-width characters) in Japanese or 2,000 characters in English including spaces.
    • Decorative tags such as <SUP> </SUP> are not calculated into the character count.
    • Figures and tables cannot be submitted.
