Registration Period

• Currently, all foreign nationals who wish to newly enter Japan need to apply for a visa except for those with re-entry permit.
  We plan to start issuing necessary documents for VISA application for those who completed the registration before August 31, 2022.

Registration Fees

1) A student ID or certified by a Head of Department must be submitted when register online.

About accompanying Person(s) registration

• Only available to partners and/or family members of a paid registrant to attend the meeting. A paid registrant can register up to two accompanying persons through the online registration system.
• Accompanying person’s access is limited to the Exhibition area and Gala Dinner.

• Gala Dinner will be hold on October 13, 2022 (1st day of the meeting)

We accept credit card (Visa, MasterCard, AMEX, Diners, and JCB) and bank transfer payment on the online registration system.

Cancellation Policy

• No refunds are available for cancellations.

Unexpected Cancellation of the Event or Impossibility to
Hold the Event

In the unlikely case that the IAP Kyoto 2022 cannot be held in whole or in part due to any event beyond the organisers’ control or force majeure (such as riot, fire, explosion, accident, flood, earthquake, sabotage, strikes, acts of any government, etc) the Meeting Organisers cannot be held liable for any damage, cost, or loss incurred, such as registration fee, transportation and accommodation costs, or any other direct or indirect loss or consequential damage.

Registration Confirmation

An automatic confirmation email will be sent to you upon completion of registration.

• Credit card payment
  You will be able to download an official receipt from the URL in the confirmation e-mail.
• Bank transfer payment
  You will be able to download an official invoice from the URL in the confirmation e-mail. After your payment is confirmed by the secretariat, a payment confirmation e-mail will be sent you with the URL to download an official receipt.

VISA application

Currently, all foreign nationals who wish to newly enter Japan need to apply for a visa except for those with re-entry permit.

1) A certificate for completion of Registration to the ERFS system obtained by a receiving organization (IAP2022 Kyoto) through online application.

2) Please submit the registration completion certificate together with other visa application documents according to the purpose of your visit.

Required documentation for IAP 2022 Kyoto

We plan to start issuing necessary documents for VISA application for those who completed the registration before August 31, 2022.

Please note following information is needed for issuing supporting documents.

• Applicant : date of birthday and other personal information
• Applicant: passport number
• Flight information
• Name of the accommodation

IMPORTANT!

• We would like to charge you for your VISA support, which costs JPY 18,700 per person.
• We do not promise to issue Visa documents to all the applicants.
• We only support the Visa documents to attend our meeting, from Oct.10 to Oct. 18.
• As Visa and immigration information may change depending on the status of COVID-19 infection in Japan, please check the website of the Japanese Embassy or Consulate in your residence area for the latest news.
