Guidelines for Session Chairpersons

Guidelines for Chairpersons (Oral/Video Presentations)

  • Please be seated at the next chairperson’s seat (front right of the room) at least 15 min before the session start. Please make sure to inform the room staff of your arrival.
  • We will not announce the start of the sessions except for the program designated by the Congress. Please begin your session at the scheduled time.
  • Please be punctual and carefully follow the allotted time limits.

  • Please come to the Check-in Desk for Poster Sessions, located next to each Poster Area, at least 15 minutes before the session.
  • We will not announce the beginning of the sessions. Please start your session as scheduled.

COI Information disclosure must be included in all presentations as well as posters. Please include a COI slide at the beginning of your presentation or right after the presenter information slide. For the posters, please indicate the COI Disclosure in the lower right-hand corner.

Guidelines for Oral Presenters

Data Preview Desk

Presenters should register at the Data Preview Desk at the respective venue (please see the table below) and complete a run-through of their presentation at least 30 minutes before their session. Once completed, please be seated at the next speaker’s seat (front left of the room) at least 15 minutes before your presentation.

Presentation guidelines

  1. Please prepare your presentation using PowerPoint (single screen only).
  2. Devices to bring based on your PC’s operational system (OS)

    ① Windows OS: Your laptop PC or stored data
    Recommended data storage device: USB drive
    *Make sure you scan your drive beforehand using the latest antivirus software.

    ② Mac OS: Your own laptop PC only
    We cannot accept any stored data files created on Mac computers.

  3. Presentation file name

     Please name your file according to the following format:
    Date_Room nr_Session Code_Your Full Name

  4. Speakers are asked to operate their own presentation using the provided keyboard and mouse.
  5. If you need to print out your presentation slides, please do this yourself.

Notes for speakers bringing data storage devices (USB drive, CD-R) *For Windows users only

  1. Each presentation venue is equipped with a Windows PC. The installed presentation software is PowerPoint 2010 or later.
  2. The screen ratio is 16:9. Slides with ratio of 4:3 are also accepted.
  3. Recommended fonts: Arial/Arial Gothic/Century/Century Gothic

     *Please note that fonts other than the ones listed above may not be displayed properly.

  4. If your presentation data that you bring with you on a storage device includes videos, please prepare it in a format that works with the default codec of Windows Media Player 11 or later (recommended formats: MP4 or WMV).
  5. If your presentation data contains linked files (still images, moving images, graphs, etc.), make sure you store the PowerPoint file and the linked files in one folder. Please be sure to check in advance on a different PC whether the linked files work properly.
  6. The speaker’s podium is equipped with a monitor. Speakers are asked to operate their own presentation using the provided keyboard and mouse. You cannot use presenter tools; only mirroring is possible. If you need access to your presentation notes, make sure to bring a printed copy with you. We do not provide printing services at the venue.
  7. We will delete your submitted presentation data after the Congress.

Notes for speakers bringing their own PCs

  1. Please bring backup data of your presentation (e.g., stored on a USB drive) and your own AC adaptor with you.
  2. Make sure that the data output can be switched to an external display.
  3. After checking the data at the Data Preview Desk, bring your PC to the Operator Desk, located within your session venue, no later than 20 minutes before the start of your session. We will return your PC immediately after your presentation.
  4. The venue is equipped with HDMI and Mini D-sub15 pin (VGA) cable connectors. If you require a conversion connector, make sure to bring it yourself. Please note that the venue does not lend out conversion connectors.
  5. All energy-conserving functions such as screen-savers and sleep/power-saving modes should be disabled. Moreover, please remove any password settings.
  6. The speaker’s podium is equipped with a monitor. Speakers are asked to operate their own presentation using the provided keyboard and mouse. You cannot use presenter tools. Also, please do not take your PC to the podium. If you need access to your presentation notes, make sure to bring a printed copy with you. We do not provide printing services at the venue.
