Information for Facilitators and Speakers

Information for Facilitators

Please be seated on the facilitators’ seat located at the front right of your session room at least 15 minutes prior to your session. The time indicator is set on the facilitators’ desk to indicate each speaker’s allotted time. Please manage the time of session not to go over the schedule.

Information for Oral Presenters

  1. Please come to the PC Preview Center at least 60 minutes prior to your presentation to check in your data. (Those who give their presentations early in the morning are requested to complete the data check in at least 30 minutes prior to your presentation or by the day before.)

    1. Please prepare your data in Microsoft PowerPoint(Windows PowerPoint 2007/2010/2013/2016) and make sure to preview your presentation data.
    2. Remote presentation system is equipped in the session room. You have a TFT monitor, mouse and USB keyboard on the podium to operate your presentation.
  2. Please be seated on the next speaker’s seat located at the front left of your session room at least 15 minutes prior to your session.
  3. Due to the time schedule, please ensure your presentation does not exceed this time limit.

If you use the Secretariat’s PC

  1. Only USB flash memories are accepted.
    *MOs, floppy disks, CD-R, and CD-RWs cannot be accepted.
  2. Windows is the only operating system available for the presentations.
    *If you have prepared the presentation data on a Macintosh, you are requested to bring your own computer.
  3. The Secretariat is responsible for destroying all copies of any data after the session.

If you bring your own PC or MAC

  1. Please check in and notify your plan at the PC Preview Center to use your own PC/Mac for presentation at least 60 minutes prior to your presentation.
  2. The Secretariat will prepare a Mini D-sub 15 pin PC cable connector. If your PC is not compatible with this cable connector, please bring an adaptor to connect your PC to the Mini D-sub 15 pin PC cable connector.
  3. Please bring your AC adapter with you.
  4. Please also bring your presentation data on USB flash memory as a backup file.
  5. After checking connections at the PC Preview Center, please bring your PC/Mac to the Operation Desk in the session room 30 minutes prior to the start time of your session.
  6. Following the conclusion of your session, we will return your PC/Mac at the Operation Desk. Please come to the Operation Desk promptly to collect it.

Information for Poster Presenters

1. Guidelines

Please be in front of your poster at least 10 minutes prior to your session.
Due to the time schedule, please ensure your presentation does not exceed the time limit (Speech 3 min + Q&A 2 min).

*Please remove your poster within the allocated time. Otherwise, the secretariat will discard remaining posters found after the removal.

  • The size of a panel is width 90cm Hight180cm.
  • Number plates, the size of 20cm x 20cm, on the top left corner.
  • Please prepare a paper which states your presentation title, speakers and co-authors, and affiliation which should be pasted on the top right corner of the panel, the size of width 70cm x Hight 20cm.
  • There will be no restrictions on layout for other items.
  • Number plates and pins will be prepared on-site.

Conflict of Interest (COI) Disclosure Statement

The Japan Endocrine Society is providing the Guidelines Regarding Conflicts of Interest in Clinical Research for the appropriate management of conflicts of interest (COI) resulting from involvement in collaborations between industry and academia in clinical research since April 2011.
Thus, the lead presenter is requested to comply with the Japan Endocrine Society Bylaws Concerning Conflict of Interest Policy in Medical Research.

1. COI disclosure form

Disclosure form for lead presenter

The lead presenter is requested to disclose any COI with companies and associations related to the presentation subject over the 3 year period prior to registration of the abstract.

2. COI disclosure at the presentation

The head presenter or speaker shall disclose any COI at the beginning of his/her presentation or on the slide profiling the presenters involved in the study using Form 1-A (if he/she has any COI to disclose) or Form 1-B (if he/she has no COI to disclose). Alternatively, for poster presentations, any COI shall be disclosed at the bottom of the poster using Form 1-C.
